Many shop owners combine Adobe Commerce or Magento with an external accounting system. One such system is the SaaS solution Easybill. Although it provides an integration with Magento by default, the standard interface only has limited functionality. Therefore, DELABYTE has developed a Magento module for full integration, which better utilizes the interaction between the two systems.
Easybill is a cloud-based invoicing software. Online retailers can use it to manage their accounting. This Software-as-a-Service solution helps them, for example, to create invoices, credit notes, and delivery slips, and to automatically record incoming payments.
The standard interface of Easybill to Magento is primarily designed to import documents from Magento into the accounting software. However, it offers only limited synchronization of data and functionalities between the two systems.
Unlike the standard interface, the Easybill module from DELABYTE enables full integration. Thanks to the synchronization of all relevant data, shop operators can allow their customers to download Easybill invoices in Magento and easily process payments via invoice and SEPA direct debit.
Even though Adobe Commerce or Magento is a shopping system, it contains several objects relevant to accounting. These include, for example, invoices, credit notes, and delivery slips. However, in Magento, they can only be customized with programming effort. To manage them more simply and flexibly, many online shop operators use an external accounting software like Easybill. This accounting system simplifies the design and customization of PDFs, automates a series of steps, and provides access for tax advisors.
"Combining a Magento shop with specialized accounting software simplifies many processes for shop operators. However, this requires seamless integration – and that too across the full range of functionalities."
The standard interface of Easybill to Magento is limited to synchronizing invoices and credit notes from Magento with the accounting system. In contrast, the integration solution developed by DELABYTE fully exploits the capabilities of both systems. It also transfers customer data from the online shop to the accounting software. Additionally, it offers the option to send invoices managed in Easybill directly to customers via email. Customers also have the option to download PDF invoices from Easybill directly in their user account.
Based on the integrated systems, shop operators can offer their customers the option to pay for orders by invoice or direct debit. The former is especially indispensable for B2B shops as a method of processing. In Magento, an unpaid invoice is first created and sent to Easybill. Easybill automatically records a received payment through synchronization with the merchant's bank account. The invoice status in Magento is then immediately updated via the interface. If the customer selects SEPA direct debit as the payment method in the Magento checkout process, the process works similarly. Magento triggers a request through the interface to generate a SEPA mandate in Easybill.
To use the integration module from DELABYTE, shop operators only need to enter their Easybill access data in the Magento backend. Here, they also have the option to configure a few basic interactions between the two systems.
